My report is due in an hour, it's 14 pages long, and my manager just replied, "Can you add page numbers so we can reference them in the meeting?" Oh, and the cover page shouldn't have one.
Here's the quick answer on how to add page numbers in Word: go to Insert, then Page Number, pick Top of Page or Bottom of Page, and choose a style. Word numbers every page automatically and keeps the count right as you edit.
What are page numbers in Word (and how do they work)?
Page numbers in Word aren't typed text. They're a small field that lives in the header or footer and updates itself, so when you add or delete pages, every number shifts on its own.
That matters for two reasons. First, you edit them by opening the header or footer, not the main page. Second, a change to one header or footer usually applies to every page in that section unless you tell Word otherwise. Keep "header, footer, section" in mind and the rest of this guide clicks into place.
How to insert page numbers in Word
Here's how to insert page numbers in Word for Windows (Microsoft 365):
- Click Insert on the ribbon.
- Click Page Number.
- Choose Top of Page, Bottom of Page, Page Margins, or Current Position.
- Pick a style from the gallery (left, center, right, or a decorative one).
- Press Esc or click Close Header and Footer to get back to your text.
Want "Page 3 of 14" instead of just "3"? In step 4, scroll the gallery to the Page X of Y section and pick one of those styles. Word fills in the total page count and keeps it accurate.
How to format page numbers in Word (Roman numerals, start at)
By default, page numbers in Word run 1, 2, 3. To change the style or the starting number:
- Go to Insert, then Page Number, then Format Page Numbers.
- Under Number format, choose a style like i, ii, iii or A, B, C.
- Under Page numbering, select Start at and type the number you want.
- Click OK.
Roman numerals suit a contents page or preface, and Start at lets a follow-on file begin at 25 instead of 1. To change the font or size, I open the footer, select the number, and format it like normal text.
How to hide the page number on the first page
A cover page usually shouldn't show page numbers in Word. Here's the fix:
- Double-click the header or footer area to open it.
- On the Header & Footer tab, check Different First Page.
- If a number still shows on page 1, select it in the First Page Footer (or Header) and press Delete.
Page 2 will still say "2," though. If you'd rather it say "1," open Format Page Numbers and set Start at to 0. The hidden cover page counts as zero, so the next page shows 1.
How to start page numbers on page 2 in Word (or a later page)
The Different First Page trick above is the fastest way to start page numbers on page 2 in Word. For a later page, like numbering from page 4 after a cover, contents, and summary, you need a section break:
- Click at the very start of the page where numbering should begin.
- Go to Layout, then Breaks, then Next Page (under Section Breaks).
- Double-click the footer on the first page of the new section.
- On the Header & Footer tab, click Link to Previous so it's turned off.
- Go to Insert, then Page Number, then Format Page Numbers, select Start at, and type 1.
- Delete any page numbers left in the first section.
Unlinking is the step everyone misses. While Link to Previous is on, deleting a number in section 1 deletes it in section 2 too.
How to remove page numbers in Word
Here's how to remove page numbers in Word: go to Insert, then Page Number, then Remove Page Numbers. That's it.
If some numbers stick around, the document probably has several sections or separate odd and even page settings. Double-click the header or footer in each leftover section, select the number, and press Delete.
Page numbers in Word for Mac and Word on the web
Page numbers in Word for Mac work almost the same way. Go to Insert, then Page Number, and open the Page Numbers dialog, which has Position and Alignment menus, a Show number on first page checkbox, and a Format button for number styles and Start at. Section breaks live under Layout, then Breaks.
Word on the web is simpler. Click Insert, then Page Numbers, and pick a layout. Tick Include Page Count for Page X of Y, and use Remove Page Numbers at the bottom of the gallery to clear them. For different numbering in different sections, Microsoft recommends opening the file in the desktop app.
When page numbers won't behave (caveats)
A few honest gotchas when you add page numbers in Word:
- Numbers restart or jump. A section break probably has its own Start at setting. Click Show/Hide ¶ on the Home tab (Ctrl + Shift + 8 on Windows) to see the breaks.
- Every page shows the same number. Someone typed "1" by hand. Delete it and insert a real page number.
- Deleting one deletes them all. That's Link to Previous at work. Unlink first.
- The header text vanished. Gallery styles from Top of Page or Bottom of Page replace what's already in that header or footer.
If I get lost in the Header & Footer tab, Guidy is my shortcut. It works like a live step-by-step guide for Windows and Mac (plus Chrome and Safari extensions) that reads my screen when I ask and points to the next click. It never clicks for me, so I still learn where things live.
That's everything I needed to add page numbers in Word, from a simple footer to section-by-section numbering. For the rest of a meeting-heavy week, see how to record a Teams meeting and how to create an email template in Outlook.
FAQs
How do I start page numbers on page 3 in Word?
Insert a section break at the top of page 3 with Layout, then Breaks, then Next Page. Double-click the footer on page 3, turn off Link to Previous, and set Format Page Numbers to Start at 1. Then delete the numbers left on pages 1 and 2. Your third page now shows 1.
Why are my page numbers all the same in Word?
Usually the number was typed by hand, so it isn't a real page number field and can't update. Because the footer repeats on every page, every page shows the same digit. Double-click the footer, delete the typed number, and use Insert, then Page Number to add a proper one.
How do I add a page number without deleting my header text?
Double-click the header or footer and click where the number should go. Then choose Insert, then Page Number, then Current Position, and pick Plain Number. Unlike the Top of Page and Bottom of Page galleries, this inserts the number at your cursor and leaves your existing header or footer text alone.
