Invoice Template for Google Docs (Free, Step by Step)

I finished my first freelance project, then realized I had no idea how to bill the client. I didn't want to pay for invoicing software yet, so I opened Google Docs.

Here's the short answer. An invoice template in Google Docs is a document with your details, the client's details, an invoice number, dates, line items in a table, a total and payment terms. You build it once, then make a copy for every new invoice.

What is a Google Docs invoice template?

A Google Docs invoice template is a regular document you set up once with every field an invoice needs, then duplicate each time you bill someone. Nothing about the file is special; the habit of copying it is what makes it a template.

It's free, it lives in Google Drive and it opens in any browser. The catch: Docs is a word processor, so it won't add up the numbers for me.

What fields does every invoice need?

Whether you create an invoice in Google Docs or anywhere else, a complete one gets paid faster because the client doesn't have to email back with questions.

  • Your details: name or business name, address, email, phone
  • Client details: company name, contact person, billing address
  • Invoice number: unique and sequential, like INV-0001
  • Issue date and due date: for example, due in 14 or 30 days
  • Line items: description, quantity or hours, rate, amount
  • Totals: subtotal, any tax or discount, total due
  • Payment terms and methods: when it's due, any late fee policy, and how to pay (bank transfer, PayPal, a Stripe link, check)

If you need to charge sales tax or show a tax ID, check your state's rules, since they vary.

How to create an invoice in Google Docs

Here's how to make an invoice in Google Docs from a blank page.

  1. Go to docs.google.com and click Blank document (or type docs.new in the address bar).
  2. Type INVOICE at the top, then your details, the invoice number and the two dates.
  3. Add a heading like Bill to and type the client's details.
  4. Click Insert, then Table, and pick a grid of 4 columns by 5 rows for the line items.
  5. Label the header row: Description, Qty/Hours, Rate, Amount.
  6. Below the table, add the subtotal, tax and Total due lines.
  7. Finish with your payment terms and payment methods.

For a cleaner look, I right-click the table, open Table properties and adjust the border width and cell padding.

Copy-ready invoice layout

If you'd rather skip the setup, here's a free invoice template Google Docs users can paste straight into a blank doc. Swap the brackets for your info, then turn the line items into a table with Insert, then Table.

  • INVOICE
  • From: [Your name or business name], [Address], [Email], [Phone]
  • Bill to: [Client company], [Contact name], [Billing address]
  • Invoice number: [INV-0001]
  • Issue date: [Month Day, Year]
  • Due date: [Month Day, Year]
  • Line item 1: [Description] | [Qty or hours] | [Rate] | [Amount]
  • Subtotal: [$0.00]
  • Tax or discount: [$0.00]
  • Total due: [$0.00]
  • Payment terms: [Due within 14 days of the issue date]
  • Payment methods: [Bank transfer details, PayPal email or payment link]
  • Notes: [Thank you for your business!]

Pro tip: Keep the invoice number format consistent (INV-0001, INV-0002) so it's easy to search Drive and match payments later.

How to save it as a reusable template

Once the layout looks right, I rename the file something obvious like Invoice TEMPLATE (do not edit). That's my master Google Docs invoice template, and I never type client info into it.

For each new invoice:

  1. Open the master file and click File, then Make a copy.
  2. Name the copy with the invoice number and client, like INV-0007 Acme Co.
  3. Pick a Drive folder and click Make a copy.
  4. Fill in the copy, never the original.

How to send your invoice as a PDF

Clients expect a PDF, not an editable link to my invoice. In the filled-in copy, I click File, then Download, then PDF Document (.pdf), and attach that file to my email.

A PDF keeps the formatting locked and gives me a fixed record of exactly what I sent.

Is an invoice template in Google Sheets a better option?

Honestly, sometimes yes. An invoice template in Google Sheets can do the math: a formula multiplies quantity by rate and sums the column, so the total updates as you type. Google Sheets also has ready-made invoice templates in its template gallery, at the top of the Sheets home screen.

I stick with Docs for a flat project fee and pick Sheets when there are lots of line items or hourly rates.

When a Google Docs invoice won't cut it

An invoice built in Google Docs works well for a handful of clients a month, but it has real limits:

  • No automatic totals. Docs doesn't calculate your line items, so double-check every sum before you hit send.
  • No payment tracking. It won't tell you who paid or send reminders, so I keep a simple list of sent invoices.
  • Manual numbering. You track the last invoice number yourself.
  • No built-in online payments. Paste a PayPal or Stripe link instead.

If you send dozens of invoices a month, invoicing software is probably worth it.

Getting the setup right the first time

I rarely get stuck on the invoice itself. It's hunting for Table properties or the PDF export. That's where Guidy helps: it reads my screen only when I ask and points to the next button, step by step. You'll find more ideas like this on our AI tools for freelancers page.

FAQs

Does Google Docs have an invoice template?

Don't count on it. The Google Docs template gallery leans toward resumes, letters, proposals and reports, and its options change over time. The reliable route is to build your own invoice from a blank doc with a table, or use a ready-made invoice template from the Google Sheets template gallery, which also handles the math.

How do I make an invoice on Google Docs for free?

Open a blank document, add your details, the client's details, an invoice number and dates, then click Insert, then Table, for the line items. Add a total and payment terms. Google Docs is free with a Google account, so the whole invoice costs nothing.

Can Google Docs calculate invoice totals?

Not the way a spreadsheet does. Google Docs tables don't add up your line items automatically, so every subtotal and total has to be typed and checked by hand. For totals that update as you type, build the invoice in Google Sheets, where a SUM formula adds the amounts column.

How do I send an invoice from Google Docs?

Download it as a PDF and email it. In your filled-in copy, click File, then Download, then PDF Document (.pdf), and attach the file to an email. A PDF keeps your formatting fixed and stops the client from editing the amounts, which a shared Docs link wouldn't guarantee.
